BERDE™ is not a HIPAA-covered platform and is not designed to store, process, or transmit protected health information (PHI). Clients and their users agree to enter only de-identified data, sample IDs, QC lot numbers, and other non-patient-identifiable information into the Platform, and must not enter patient names, medical record numbers, dates of birth, or any other information that identifies a patient. Each user is shown this statement on first sign-in and must accept it before using the Platform.
Each Client is responsible for the accuracy of the records its users enter, and for keeping its users’ login IDs and PINs confidential. Information entered in violation of this section is the Client’s responsibility.
BERDE™ is offered on an annual subscription basis, segmented by the maximum number of active employee records (“Tier”) and the level of setup service selected at signup:
| Tier | Active Employee Limit | Annual Subscription Fee |
|---|---|---|
| Basic | 1 to 5 active employees | $299 |
| Plus | 6 to 10 active employees | $599 |
| Premium | 11 to 15 active employees | $799 |
A laboratory with more than 15 active employees does not fit a standard Tier and should contact us for a custom quote.
Each Tier is available with one of three setup options, billed separately as a one-time fee (see “Setup Fees” below): Self-Setup, Assisted Setup, or Complete Setup.
Self-Setup: The Client independently configures the Platform, including creating departments, uploading their own competency and training materials, and adding employee records, without direct assistance from the Provider. The Provider makes documentation and tutorials available but does not perform configuration work on the Client’s behalf.
Assisted Setup: The Provider configures the Platform structure (departments, roles, and organizational layout) on the Client’s behalf. The Client is responsible for supplying completed competency and training materials (documents, checklists, forms), which the Provider will upload and organize within the Platform.
Complete Setup: The Provider builds both the Platform structure and the competency/training content from the ground up, based on the departments and areas specified by the Client. This service may incorporate the Provider’s standard templates, customized to the Client’s specified departments, and does not require the Client to supply pre-existing materials. The Complete Setup fee includes the number of departments shown in the “Setup Fees” table below; each additional department is charged at the per-department rate stated there.
Each subscription Tier is limited to a maximum number of active employee records, as defined by the Tier selected at signup. This limit applies to all active users within the Client’s organization, regardless of role (for example, administrator, supervisor, trainer, or employee). Inactive or terminated employee records do not count toward this limit, though historical records are retained for compliance and audit purposes. The Platform will not permit the creation of additional active employee records beyond the Tier limit.
To exceed the active employee limit of the current Tier, the Client must submit an upgrade request. Upgrades are not applied automatically. Upgrade requests take effect three (3) business days after payment confirmation.
Downgrade requests may only be applied at the time of subscription renewal and will not take effect mid-term, regardless of changes in active employee count during the current subscription period. A downgrade request will only be processed if the Client’s active employee count at the time of renewal falls within the limit of the requested Tier. If the count exceeds that limit, the Client must first reduce active employee records or select a Tier consistent with their current usage.
A one-time, non-recurring setup fee applies to the Assisted Setup and Complete Setup options, as follows:
| Tier | Self-Setup | Assisted Setup | Complete Setup | Departments included in Complete Setup |
|---|---|---|---|---|
| Basic (1 to 5 active employees) | $0 | $500 | $1,500 | Up to 4 |
| Plus (6 to 10 active employees) | $0 | $700 | $2,250 | Up to 7 |
| Premium (11 to 15 active employees) | $0 | $1,000 | $3,000 | Up to 10 |
Each department beyond the number included in Complete Setup is charged $300 per additional department, due at the time the additional departments are requested.
The setup fee is billed separately from the recurring subscription fee and is due at the time the setup service is requested. Setup fees are not charged upon subscription renewal. Clients may request a change in setup tier (e.g., from Self-Setup to Assisted Setup or Complete Setup) at any point during their subscription term; the applicable setup fee will be charged at the time the request is submitted.
Subscriptions are billed on an annual basis. Renewal requires active confirmation by the Client, unless the Client has opted into automatic renewal (auto-charge). Renewal notices will be sent ninety (90) days prior to the renewal date.
Changes to fees. We may change our fees from time to time. Any change applies starting with your next renewal, and we will tell you about it in your renewal notice at least ninety (90) days before your renewal date. Fees you have already paid for your current subscription term will not change.
Promotional discounts. From time to time the Provider may offer a promotional or discount code. Any such discount applies only to the annual subscription fee (not to setup fees), only for the period stated with the offer, and only to the Client to whom the code was issued. Unless the offer states otherwise, the subscription renews at the regular annual fee then in effect for the Client’s Tier.
Trial credit. If you purchase the 5-day trial, the $25 trial fee is credited toward your first annual subscription. The credit is issued as a single-use code shown on your trial receipt. It applies only to the annual subscription fee (not to setup fees), does not expire, and may be combined with a promotional discount, in which case the credit is applied after the discount.
If a scheduled payment fails, the Client will have a thirty (30) day grace period before service access is suspended. Client data will be permanently deleted ninety (90) days from the date of payment failure if the account is not brought current.
In the event of cancellation or non-renewal, Client data will be permanently deleted ninety (90) days after the effective date of cancellation. Clients are responsible for exporting any data they wish to retain prior to the end of this period.
Annual subscription fees are non-refundable. Clients who purchase a setup service may cancel the setup within twenty-four (24) hours of payment confirmation for a full refund. No refunds will be issued after this 24-hour window or for the annual subscription fee at any time.
Clients may request a paid trial for a single (1) employee for a one-time fee of $25 USD, valid for five (5) days. This trial does not require a subscription or contract and is not part of the standard subscription tiers. No free trial is offered. Trial data is not migrated to a paid subscription; Clients who subscribe following a trial will begin with a new account with no carried-over data. Trial data will be automatically and permanently deleted at the end of the 5-day trial period, regardless of whether the Client proceeds with a subscription.
All fees stated on our Site and in these Terms and Conditions are in U.S. dollars and do not include taxes. Clients located in Puerto Rico will be charged the Puerto Rico sales and use tax (IVU) at the applicable rate, currently 11.5%, on subscriptions, setup services, trials, and other goods and services where the law requires it. Clients located elsewhere are responsible for any taxes that apply in their jurisdiction. Any tax charged will be shown on the invoice.
